For purposes of the Protection of Personal Information Act 4 of 2013 (POPIA), RR Enterprise Pty Ltd is the responsible party for the personal information described in this policy.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Contact information: your name, WhatsApp display name, phone number, email address and communication preferences.

  • Website and technical information: basic device, browser, IP-address, security and server-log information that may be generated when you use our website.

We generally collect information directly from you. We may also receive information from WhatsApp, Meta and service providers that support our communications, website and business operations.

3. How and why we use information

We process personal information only where it is reasonably necessary for a legitimate business purpose, to perform or prepare for a transaction with you, to comply with law, or where you have consented. We may use it to:

  • respond to enquiries and provide customer support;
  • recommend products, confirm compatibility or availability, prepare quotations and process orders;
  • send service, order, delivery and other transactional updates;
  • send marketing messages where permitted and honour your communication choices;
  • operate automated WhatsApp responses, route enquiries and hand conversations to a person where appropriate;
  • protect our customers, systems and business against misuse, fraud and security threats; and
  • meet accounting, tax, record-keeping and other legal obligations.

We do not use automated processing to make decisions that produce legal or similarly significant effects for you without appropriate human involvement.

4. WhatsApp, Meta and service providers

We use the WhatsApp Business Platform, provided through Meta and WhatsApp, to communicate with customers. When you message us, your account information and message content are processed through their infrastructure under their applicable terms and privacy practices.

We may use carefully selected service providers, including n8n for communications automation and providers that support website hosting, email, data storage, security and business administration. They may process information only to provide services to us, subject to appropriate contractual, confidentiality and security requirements.

Some providers may process information outside South Africa. Where personal information is transferred internationally, we take reasonable steps to ensure that the recipient is subject to appropriate safeguards or that another lawful basis for the transfer applies.

We do not sell or rent your personal information. We may disclose it when required by law, to protect legitimate rights or safety, or as part of a business transaction subject to appropriate safeguards.

5. Retention and security

We keep personal information only for as long as it is reasonably needed for the purposes described above, to resolve disputes, or to meet legal and accounting requirements. Retention periods vary according to the type of record and the reason it is held. When information is no longer required, we will delete, destroy or de-identify it where reasonably practicable.

We use reasonable technical and organisational safeguards designed to protect personal information against loss, misuse, unauthorised access, disclosure, alteration or destruction. No internet or messaging service can be guaranteed to be completely secure, so please avoid sending unnecessary sensitive information through WhatsApp or email.

6. Your choices and rights

Subject to applicable law, you may ask us to:

  • confirm whether we hold personal information about you and request access to it;
  • correct or update inaccurate or incomplete information;
  • delete information that we are no longer entitled or required to keep;
  • object to certain processing or withdraw consent where consent is the basis for processing; and
  • stop direct-marketing messages.

To stop WhatsApp marketing messages, reply STOP at any time. You may still receive necessary service or transaction messages. We may need to verify your identity before completing a privacy request.
